 Description:

Essential Job Responsibilities – Performance Indicators 

Transportation and Facilities Maintenance

• Monitor vehicle operations of Agency vehicles bi-weekly for safe operations, presence of safety/emergency equipment, inspection of tags and extinguisher; maintain appropriate records. Conduct conference(s) immediately regarding variances; submit appropriate reports to Supervisor.  

• Conduct and assist in demonstration workshops on use of equipment, supplies, vehicle operation/maintenance and cleaning techniques for facilities and vehicles for custodial and transportation staff.

• Assist in component workshops and training.

• Monitor facilities and vehicles, bi-weekly at a minimum, for needed repairs; obtain price quotes and forward request for services and/or bid information to Supervisor.

• Conduct walk-through of facility and playground areas at each Center (bi-weekly at a minimum) to assure all potential dangerous/hazardous materials are stored in locked cabinets or in secured storage areas separate from medications and foods and are accessible only to authorized staff; monitor for compliance as appropriate; conduct conference(s) immediately regarding variances; maintain appropriate records.

• Use Agency on-line monitoring system and on-site visits to assure that routine (daily, monthly, annual) inspections occur.

• Assist Center Administrators and Bus Drivers in establishing transportation routes and draft transportation map, schedules and assign vehicles.

• Monitor vehicles, bi-weekly at a minimum.  

• Maintain and assess school equipment (to include playground equipment, lawn mowers, weed eaters, refrigerators, freezers, etc.).  Request items as needed.

• Maintain inventory of all equipment and supplies (kitchen, office, janitorial) in Centers and Regional Office.  Maintain current Inventory Logbook and Equipment Transfer records.

• Responsible for ensuring safety measures is maintained; building and grounds cleanliness and neatness; grass cutting is maintained on a regular basis.

 

Program Coordination

• Assist with the development of corrective action plans in the areas of transportation and safe environments; review/verify completion of tasks.

• Assure invoices for services are received and payments processed in a timely manner

• Conduct meetings with transportation and custodial staff as appropriate to allow feedback regarding prescribed practices and to enhance skills and knowledge regarding the delivery of services or related record keeping.

• Responsible for pest control and for training custodial staff in how to safely use chemicals and equipment during spraying.

• Responsible for performing minor maintenance work as needed, or secure necessary estimates and quotes to have work done when approved to do so.

• Responsible for ensuring that regional storage facility is adequately always supplied and orderly.  Responsible for pick up and distribution of supplies and equipment.

• Attend staff meetings and other component meetings as requested.

• Responsible for developing work plan and training design each school year.

 

Recordkeeping and Reporting

• Maintain up-to-date record-keeping system in accordance with Record Keeping and Reporting Management System; review ChildPlus.net and other reports in accordance with recordkeeping system

• Prepare and submit detailed reports of on-site visits and other monitoring activities in accordance with practices outlined in Operational Procedures and On-Going Monitoring System.

• Assist with the distribution and monitoring of supplies, equipment and materials to assure sufficient operating levels are always available; report waste and abuse to Regional Administrator immediately; prepare and submit request for replenishment as needed in accordance with established Request for Supplies (RFS) procedures. Maintain up-to-date monitoring and other records to verify completion of services

• Prepare and submit detailed summary reports of activities on a monthly basis

 

Community Networking

• Partnership with local, State and Federal Agencies as needed.

• Conduct and develop partnerships with appropriate partners in the community to meet the diverse needs of parents and community.

 

  Minor Job Responsibilities

• Attend Parent Committee Meetings to establish and support positive rapport with parents as requested by the Regional Administrator.

 

Communications

• Frequent telephone and in-person contact with parents, Center staff, Regional and Central Office staff, and consultants for information exchange, problem-solving, and coordination of efforts

• Regular written memos, correspondence, and reports (manual and computerized)

• Oral and written communication skills which support positive feedback among operational levels.

All communications are potentially sensitive and are subject to Head Start’s policy on confidentiality.

 

Requirements:

• B.S./B.A.  Degree in Industrial Arts/Education, Environment Safety and Protection or other related Head Start field with demonstrated ability to supervise and the skills necessary to make minor repairs or assessment of major repairs on vehicles and pre-school facilities as required.  

• A minimum of two (2) years’ experience in management, supervision or transportation and/or three (3) years’ experience in services to or education of disadvantaged people; or in a day care/pre-school setting is highly desirable.

• Working knowledge of Head Start standards, Mississippi Child Care regulatory environment or other related area in a non-profit organization; USDA and ACF guidelines, etc.

• Demonstrated experience in case management or related area.

• Working knowledge or intermediate computer skills (Microsoft products to include spreadsheets, databases, presentation and word processing).
